Freight that has to be there on the day

Most freight is late-tolerant. Trade show freight is not. The hall opens on a published date, the contractor builds the floor in a set order, and an exhibit that misses its window either sits in a marshalling yard or arrives to a stand that is already behind.

Azzurro handles the transportation half of that equation: pickup from your exhibit house, warehouse, showroom or office, transit planned against the show's own calendar, and delivery into the advance warehouse or the show site dock inside the window you were given. After the show closes, the same desk brings the exhibit home.

We are a New Jersey company first — the Javits Center, the Meadowlands complex and the Atlantic City convention halls are local work for us — and we run to the national shows in Las Vegas, Orlando, Chicago, Atlanta and Anaheim on the same file.

Advance warehouse or direct to show site

This is the first decision on every show file, and it is the one exhibitors get wrong most often. Send us the exhibitor service manual and we will tell you which route fits your dates, your piece count and your booth.

Advance warehouse

Freight is received before the show, held, and delivered to your booth by the contractor ahead of your arrival.

Direct to show site

Freight goes straight to the convention center dock on the date and time the contractor assigned you.

  • Best for large exhibits and late-finishing builds
Where our job ends and the contractor's begins

Material handling inside the hall — unloading the truck, moving freight to your booth, storing empty crates and reloading at the close of the show — is performed exclusively by the general service contractor appointed by show management, whether that is GES, Freeman, Shepard or another appointed contractor. It is billed by them, by hundredweight, on the Material Handling Agreement.

Azzurro provides the over-the-road transportation to and from that dock, and coordinates the delivery so it lands inside the contractor's receiving schedule. Any company telling you it will handle your drayage inside the hall is describing something it cannot do.

What we move for exhibitors

Show freight is rarely one clean pallet. A single stand can be a crated island exhibit on one file and three cartons of literature on another, and both have to arrive.

Crated exhibits

Island and inline booths, custom builds, crated walls, flooring, counters and hard cases moving on skids.

Portable displays

Pop-ups, banner stands, backwalls, tension fabric systems and roto-moulded cases from an office or showroom.

Product and demo units

Sample product, machinery, demonstration units and anything going on the stand to be seen working.

AV and technology

Screens, rigging, lighting and control equipment, moved on air-ride and pad-wrapped where the build calls for it.

Literature and giveaways

Print, collateral, branded merchandise and premiums — usually the shipment that gets forgotten until the week of.

Furniture and fixtures

Owned furniture, cases, storage and fixtures where renting on site is more expensive than shipping your own.

How a show file runs

  1. Send the show details. Show name, venue, booth number, your assigned target date if you have one, and the exhibitor service manual if it has been issued.
  2. We confirm the route and the deadline. We read the manual's receiving dates against your ready date and recommend advance warehouse or show site, with the rate, in writing.
  3. Pickup is scheduled. Equipment is matched to the site — liftgate for a no-dock office, a straight truck for a tight showroom, exclusive use where the build cannot be co-loaded.
  4. Freight is labelled and loaded. Piece count verified at the dock, show labels checked against the booth number and the correct receiving address before the doors close.
  5. Transit is monitored against the window. You get in-transit updates, not silence, and we flag a risk to the window while there is still time to act on it.
  6. Delivery into the window. Advance warehouse inside the published dates, or show site on the assigned target with marshalling yard check-in where the venue requires it.
  7. Move-out recovery. Once your empties are returned and the outbound bill of lading is turned in, we collect against the published move-out window.
  8. Return or roll to the next show. Back to the exhibit house, your warehouse, storage, or straight on to the next date on the calendar.

Freight arriving from overseas for a show is handled on the same file as our New York and New Jersey port drayage and JFK and EWR airport recovery desks, so an inbound container or air waybill can go from the terminal to the advance warehouse without changing companies. Small carton shipments that do not need a truckload move on our New Jersey expedited courier service, and long-haul show runs move on nationwide truckload capacity.

Missed the deadline?

It happens more often than the industry admits. A build runs late, a warehouse deadline passes, a carrier drops a pickup, or freight arrives at the wrong receiving address. If your exhibit is not where it needs to be, call the 24/7 line on 732-340-8027 rather than sending an email and waiting.

What we can do depends on the hours remaining, the distance, and what the contractor will still accept — expedited and team-driver capacity, exclusive-use dispatch, or a direct run to the show site on an off-target delivery. What we will not do is tell you it is fine when it is not.

Show moves are priced per shipment on distance, timing, piece count, equipment and service level. Material handling, drayage and any contractor charges inside the hall are billed separately by the show's general service contractor and are not included in a transportation rate.

Frequently asked questions

Should I ship to the advance warehouse or direct to show site?

The advance warehouse is the safer choice for most exhibitors. Freight is received ahead of the show, checked in, and delivered to your booth by the general service contractor before you arrive, so a traffic delay on move-in day does not become a booth that is not there. Direct to show site suits large exhibits with an assigned target date, freight that is not ready in time for the warehouse deadline, and shipments where paying warehouse handling on top of show site handling does not make sense. Do you handle the drayage and material handling inside the hall?

No, and no transportation company can. Material handling inside the exhibit hall — unloading your truck, moving freight to the booth, storing empty crates and reloading at the close of the show — is performed exclusively by the general service contractor appointed by show management. Azzurro provides the over-the-road transportation to and from the dock, and coordinates with the contractor so your delivery matches their receiving schedule.

What is a target date and why does it matter?

Larger exhibits are assigned a specific move-in date and often a time window, called a target date or target time, so the contractor can build the show floor in order. Arriving outside that window can mean waiting in the marshalling yard, being turned away, or off-target charges. We plan transit and dispatch around your assigned target rather than around a general delivery date.

How far in advance should I book trade show transportation?

Two to three weeks before the advance warehouse deadline is comfortable for most shows. Large national shows in Las Vegas, Orlando and Chicago tighten capacity in their peak weeks, so earlier is better. We also take late and emergency bookings — if a deadline has already been missed, call the 24/7 line rather than emailing.

Can you pick up our exhibit from our office instead of a warehouse?

Yes. Pickups from corporate offices, showrooms and exhibit houses are routine. Locations without a loading dock are handled with liftgate equipment, and we confirm the equipment and access requirements in writing before dispatch so the driver arrives with what the site actually needs.

What happens to our exhibit after the show closes?

Once the contractor has returned your empty crates and your outbound bill of lading is turned in, the freight is released to the carrier. We schedule the pickup against the published move-out window and return the exhibit to your warehouse, exhibit house, storage location or straight on to the next show on the schedule.

Move-in is a date, not a range.
